Beta Program Agreement

Thank you for helping shape SoftwareConvene. You've been invited to preview our platform (ClassConvene, TeamConvene, and FundCatalyst) while it's in beta โ an early stage where you're not just using the product, you're helping us build it. This agreement explains what that means.
You're previewing an early, evolving product
The Service is under active development. Features may be added, changed, or removed; you may encounter bugs, rough edges, or occasional downtime. Please don't treat the beta as your only copy of important information โ keep your own records of anything critical.
Your feedback shapes what we build
This is the heart of the beta. When you tell us what's confusing, what's missing, or what would help, we make changes based on it โ we prioritize fixes, refine features, and build new ones from what beta testers ask for. The easiest way to reach us is the ๐ฌ feedback button in the corner of any page; you can also see the status of what you've reported. The more you share, the more the product becomes what you actually need.
How we use your information and feedback
- We use your feedback, suggestions, and support messages to fix problems, decide what to build, and improve the Service. We may quote or summarize feedback internally to guide the work.
- We use how the Service is used (which features are opened, where people get stuck, error reports) to improve usability and reliability โ reviewed in aggregate, not to profile you.
- Ideas and suggestions you send us may be used to improve the Service without obligation or payment; you keep ownership of your own content, as described in the Terms.
- All of this follows our Privacy Policy โ we do not sell data, show advertising, or use your or your students' content to train AI models.
Connected vendors. We may make certain third-party vendors available in the Service (such as apparel, parts, or printing suppliers) as an optional convenience for teachers and teams. This is not advertising, and you're never required to use them; anything you share with a vendor you choose to use is governed by that vendor's own terms.
What we ask of you
- Try the tools with real (but appropriate) classroom or team work, and tell us how it goes.
- Report problems and ideas as you find them, rather than waiting.
- Keep in mind that beta features are still in progress โ please don't publicly present unreleased features as final without checking with us first.
Beta stages, pricing & refunds
The educator & coach beta runs in stages. New features roll out to Stage 1 first, then Stage 2, then Stage 3, and finally to the free stage โ so being on a paid stage means full functionality and earlier access to new features than the free public receives during the beta.

Stage 1 access varies by invitation. Because Stage 1 is invitation-based, your access is tailored to what you've been asked to test. Depending on your invitation, that may be all of ClassConvene (including Observatory), all of TeamConvene, both products together, or specific parts of either โ for example, only the events tools. Your invitation will make clear which areas you're testing; other areas may not be available to you.
Payments & refunds
Paid-stage fees are billed per user for a full year from the date you join and processed securely by Stripe. If you decide the paid beta isn't for you, you can request a full refund within your stage's refund window โ 21 days for Stage 2 and Stage 3 โ measured from the date of payment.
AI features & Sparks (AI credits)
Some ClassConvene features use AI, powered by Sparks (AI credits). Every account โ free or paid โ includes a monthly allowance of Sparks, and each AI action shows its Spark cost before you use it. If you run low before the monthly reset, you can buy optional top-up packs that never expire and are used only after your monthly allowance runs out. Chatting with the feedback assistant never costs Sparks. Spark prices and allowances may be adjusted during the beta as we learn from real usage.
Renewal after your year
Your paid stage is price-locked for the full year you purchased โ the amount never changes mid-year. Before your year is up, we'll show you the price for the coming year, which may change slightly. We will not collect a renewal payment until you have reviewed and approved that price โ there are no automatic surprise charges.
Changes & stopping
You can stop participating at any time. We may adjust or end the beta program, or change stages and features, as we develop the Service.
The basics
Your use of the Service during the beta is also governed by our Terms of Service and Privacy Policy, including the "as is" nature of the beta and the limitations described there. This agreement is between you (and, where applicable, your school) and SoftwareConvene LLC.
